  • Login and User Viewability:

a. Go to and enter your username and password.

b. Note that Athena can be accessed from any computer with internet access, but patient information should only be accessed when clinically appropriate.

c. Change your password every 3 months, keeping it simple and memorable.

d. Confirm your EMR view (Clinician vs. Non-Clinician) by clicking on your username in the upper right-hand corner and selecting your status.

  • Viewing the Clinic Schedule:

a. On the EMR landing page, locate the box in the middle of your screen.

b. Click the "+" sign in the right corner of the box.

c. Select the clinic sites where you volunteer.

d. If your clinic site is not visible, click the arrow next to "departments" to view all clinics.

e. Choose the desired date to view the schedule.

f. Understand the schedule color-coding (for clinicians):

  • Purple = arrived

  • Orange = ready for staff (triage)

  • Light green = ready for provider

  • Darker green = with provider

  • Grey = check-out

  • Communication within Athena:

 Sending instant messages:

a. Click the message box in the bottom right-hand corner to send confidential clinical messages to other SMLC Athena users.

b. "Post-it note" notices: At the top of each patient's chart, use the yellow exclamation point to include important information.

Creating a "patient case" (internal message in patient chart): 

a.  In the corner of a patient's chart, click the block symbol ("hamburger") and select "Create a patient case."

b. Enter the source/recipient, provider, subject, call back number, and case description.

c. Select "Leave in DataEntry to [name of message recipient]" and save.

  • Tips about the Patient Chart:

 Viewing archived files from MDRhythm:

a. Within each chart, use the "Ellkay" button in the upper right-hand corner to access archived notes.

b. Click on "third party applications" and select "St. Mary's Legacy Clinic" to view the patient's archives.

c. "Structured" vs. Free-text: Choose between structured or free-text options in different areas of the patient chart.

d. Finding tricky items for Clinical Staff: Use the find feature at the top of the left column to locate specific items.

  • During patient visit:

Patient progress indicators:

a. The circles to the right of a patient's name show their progress throughout the visit.

b. Selecting appropriate patient task: After selecting a patient, go to the right upper corner and choose the appropriate patient task for your station (e.g., "Go to Intake").

c. Adding items to the chart: Most areas offer both "+" and "Note" options to add information to the patient chart.
